Administrative Associate (P/T remote, $25/hour, average 10 hours per week)

Sea Dog Theater’s staff operates remotely and programs out of St. George’s Episcopal Church in the Gramercy Park neighborhood of New York, where we are presently producing the New York revival of Clifford Odets’ Awake and Sing! This is our follow up production to our sold out and critically acclaimed production of Mitch Albom’s Tuesdays with Morrie which starred Tony Award-winner Len Cariou (OBA Best Revival 2024). Annual programming also includes our reading series and new play development partnerships.
The Administrative Associate is an entry level position that reports to the Managing Director and will provide support for Sea Dog Theater’s general operation and projects including general management, bookkeeping, grant writing and reporting, donor management, internal communications, calendar management, note taking, and task management. This is a part-time remote position. This job is best suited for someone who is effective at managing their own work schedule, an excellent self-starter and communicator (both written and verbal), and has a strong track record supporting small team efficiency and operation. The successful candidate is driven to support artists and theater makers and to help them thrive in creating high-quality work.
Position Responsibilities Include:
Contract generation and management
Payroll management
Quickbooks management, includes bookkeeping, budgeting, purchase orders and organization purchasing, accounts payable and receivable, receipt tracking
Insurance, tax filing, and all general organization management
CRM management, includes donor software management and correspondence
Grantwriting - calendar and submission management
Administrative and production calendar including programming and meeting schedule, and senior staff scheduling
Organization correspondence between staff, board, and community partners
Administrative meeting notes tracking and synthesis
Board of Directors correspondence and materials management
Website maintenance
Regular communication and scheduled check-ins with Managing Director and additional staff as needed
Support the needs of administrative staff as needed, including but not limited to generating internal and external communications and collateral
Calendar management
Physical Expectations:
Personal Computer and Internet Access
Ability to be in New York regularly for in person meetings and special events
Knowledge/Skills/Abilities:
B.A. degree or equivalent, with professional administrative experience
Strong communication skills, both written and verbal
Strong computer skills, including knowledge of mail merges and using intermediate to advanced features in Excel
Strong experience with G-Suite and Google Drive
Experience with Quickbooks or other bookkeeping software
Experience with donor management software
Detail-oriented with organization, project management, and time management skills
Ability to perform a substantial number of tasks independently
Ability to work cooperatively, foster team spirit, and maintain a positive demeanor
Ability to solve problems independently
Ability to clearly communicate needs and expectations to staff supervisor
